Office Ergonomics - Mouse Clicks

Computer Ergonomics is concerned with potential and sometimes persistent injuries that can be caused by a person who uses a computer for a large part of their working day. On the scale of human history, the personal computer is a relatively new ‘tool’ that humans have had to get used to using. Computer ergonomics becomes important when you consider fingers moving around keyboards, eyeballs focusing on screens and hands wrapped around mice.
So today let’s focus on the mouse. Did you know that a heavy computer user can click a mouse button over 6,500 times in a single day? Is it any wonder then that repetitive strain injuries are so common among office workers?

The mouse is one of the biggest culprits for injuries that physiotherapists treat. There are a few reasons for this – the amount of times that you click the mouse per day (i.e. the repetitious nature of using the mouse) and the position of the mouse. Often at the end of a long day when we are tired the mouse can tend to move further away from the keyboard. This can cause a huge amount of problems through the neck, shoulder and arm.

Similar to all other pieces of ergonomic furniture – there are a lot of mice on the market, trackballs, joystick mice, touchpad mice and just your standard looking mouse.

Choosing the right mouse for you is important and should be based on your hand size and the type of work that you are doing. The main thing is that your hand should not be in an awkward posture while using the mouse. Awkward postures as well as repetitive postures are what cause injuries such as RSI.

For myself I spend most of the day in front of the computer and so I use my mouse a lot. I was consistently getting carpal tunnel problems with wrist and finger pain. It got so bad I could only use my mouse for about 15 minutes at a time and quite often had to use my left hand on the mouse because my right hand hurt so much. Last year at a trade show I happened to be talking to the Microsoft rep about this problem. He showed me a new Microsoft “Natural’ mouse they had just introduced to the market.

This mouse is designed to conform to your hand in its most relaxed position. This is the position that the Microsoft natural mouse uses. I found that it takes a few days to get used to the natural mouse as your normal mouse motions will cause the cursor to move sideways more. Stick with it though as it soon becomes natural to use. My carpal tunnel and wrist pain is totally gone and I can use the natural mouse all day long without any pain in my wrist.

Office Ergonomics – Adapting your Workspace to You

Firstly, you may be asking, what is ergonomics? Wikipedia defines it as “the science of designing the workplace environment to fit the user. Proper ergonomic design is necessary to prevent repetitive strain injuries, which can develop over time and can lead to long-term disability.”

Most of you reading this article are computer users and proper setup of your work space is essential in creating a comfortable workstation and it can help prevent injuries.

Following are some of the areas to take a look at when setting up your work space.

Mouse - There are a number of ailments that can come from using your mouse incorrectly, from sore wrists to aching shoulders. They may take years to develop, but once present, can be difficult to reverse. That's why it's so important - even if you're not currently feeling pain - to position and use your mouse properly so that you avoid future problems.

Monitor - Choosing the right location for your computer monitor on the desk or workspace can be a difficult decision. Yet if not positioned correctly, your monitor can cause neck pain, shoulder pain, or even eye strain

Keyboard - There are a number of ailments that can come from using your keyboard incorrectly-from short-term issues like sore wrists to long-term problems like Carpal Tunnel Syndrome. These ailments can take years to develop, and once present, can be difficult or even impossible to reverse. MS Office 2010 - Different Versions, Different Uses and Shortcuts

Now that Microsoft has had its Office 2010 versions out for several months, a lot of people are asking if they should make the change.  The move from office 2003 to 2007 changed the look and feel of all the office products.

Outlook 2010 has many new features and the most useful feature that I use, is the conversation tool. This tool takes all the emails from one conversation and groups them together, eliminating all that time it takes to go back looking for old emails from several different people.

Another feature of MS 2010 is the ability to work in groups. This makes it easy to brainstorm ideas, keep versions in sync, and meet deadlines faster. Co-authoring in Word 2010, PowerPoint 2010, Excel Web App, and OneNote 2010 shared notebooks enable you to edit the same file at the same time with other people — even when they’re in different locations.

Microsoft Office Backstage™ view replaces the traditional File menu to give you a centralized space for all of your file management tasks, including save, share, print, and publish. The enhanced Ribbon, common across Office 2010 applications, lets you access commands quickly and create or customize tabs to fit your work style.


Different Versions, Different Uses

As with previous Microsoft Office releases, Office 2010 will be available in different versions to meet the needs of a variety of customers. Retail editions of Office 2010 contain programs aimed toward the needs of different users, ranging from commonly-used applications such as Word, Excel, and PowerPoint for students to less common programs such as Publisher and Access for use by professionals.

Because of the different roles intended for the various versions of Microsoft Office 2010, the installation limitations will vary depending on the version that is purchased. Office 2010 Home and Student Edition, for example, will be available in family packs that allow installation on up to three different computers with a single product key; other versions of Office 2010 that are designed for work environments will only allow installation on two computers (presumably for home and for the workplace.) Individual product keys will be available directly from Microsoft to allow additional installations for those who already have access to the Office 2010 software.

Version Comparison

Home and Student Edition: Office 2010 Home and Student Edition contains full versions of Word, Excel, PowerPoint, and OneNote. It is designed to provide word processing, spreadsheet, presentation, and organizational functionality to home users and students.

Home and Business Edition: Office 2010 Home and Business Edition contains the same products that are available with the Home and Student Edition, adding Outlook to the package for email access and organization.

Professional Edition: Office 2010 Professional Edition contains the same products as the Home and Business Edition, adding Microsoft Publisher (for desktop publishing) and Microsoft Access (for database management) to the software package as well.  A"Professional Academic" version of the package is also available through Northern Computer - an authorized academic reseller.

Keep Connected Kelowna - Home, work, smart phone - Microsoft Exchange Server

Don’t you wish your home PC, your work PC and your smart phone could all sync together, or your email on your laptop could just work from anywhere without having to change any settings? These are a few of the many benefits that Microsoft Exchange Server has to offer.

The software also allows us to work as a team by sharing our schedules, business contacts and tasks. Wouldn’t it be nice to have one central contact list that all of your staff could work from?

There are many tools that are specifically beneficial to businesses, large or small. One such tool is Microsoft Exchange Server (MES). Email is a part of almost every employees regular work day. We all need to communicate with co-workers and customers. Electronic mail has enabled us to do this efficiently with little or no delay. Exchange server builds upon the standard E-Mail Server. It is a centralized sever based product that allows businesses to collaborate with each other. This collaboration is made up of Sharing Calendars, Contacts, Tasks and Email Folders (Inboxes).

The key part to Microsoft Exchange server is the Email Client. Microsoft Outlook is the application used to connect to Exchange. It can be used as a standalone product or collaboratively. I am sure many of you sometimes travel for business with a laptop. If you do, there probably have been times when you have had issues sending email. It can be a painful process to change your outgoing mail server with Outlook to allow email delivery. When you deliver email through one mail server it may not work when you are connected to a different Internet Service Provider. If Outlook is connected to an Exchange server you will never have to worry about this again.

I have seen some customers configure a business email account on their home PC’s. There are certain times when the abilityto fire off a quick email is necessary. The problems come in when you are at the office looking for details about an email that you sent two weeks ago. You keep digging and digging for that email but just can’t find it. You now remember that you sent it from your home PC. This requires you to drive home if you need to address the concern immediately. If you were using a service called “Outlook Anywhere with Exchange,” you would have one central email, contact, calendar and task store. All of this data is stored in your own private secured mailbox within Exchange. You can have as many licensed PC’s as you like using Outlook with the same mailbox.

Do you have important emails that you would not want to lose? Backups and retention periods are made easy when using mailbox databases. MES stores all of the user mailboxes within a database. This central database allows us to easily backup all of your important data in your mailbox. In a standard POP3/SMTP email, environment the data that Outlook stores is kept on the local hard drive storage. If your PC was lost, stolen, or had a hardware failure, this data would not be recoverable.

If there are times where you don’t have access to Outlook, or Outlook is not connected to the Exchange server, you can always connect to your Outlook Web App site. Outlook Web App is Microsoft Outlook in a web browser. Yes again, you have access to that one central mailbox store with all of your important information.

There are many great features of working with Microsoft Exchange. One of the biggest features that customers enjoy is having their email, Calendar, Contacts and Tasks synchronized with that wonderful device called a smart phone. Yes, your iPhone, Blackberry, Windows Phone and many others can be connected to the server. The days are gone when you couldn’t remember if you had dealt with an email on your phone or on your computer. When you send an email from your smart phone it shows up in your sent items on the device and in Microsoft Outlook.

It is nice to keep a list of important business contacts and have that list available at any time. When you add contacts to your Microsoft Outlook you won’t have to worry about typing them in on your smart phone. The Exchange Server automatically exchanges the data with the mobile phone. My personal favorite feature is the reminders. We all lead very busy business and personal lives. If I have an item I need to remember it goes into my Calendar as soon as I think of it. I set the date, detail about the item, and set the reminder time. These actions can be completed on either you smart phone, in Outlook or via Outlook Web App. I can now throw away my desk calendar as I know Outlook or my smart phone will remind me.

You may ask, “Wow all of these features sound so great, how do we sign up and what is the cost?” In most client’s networks, Microsoft Exchange server may already exist. Microsoft bundles the product in their Small Business Server line up. The Exchange server does require some configuration and maintenance but there would not be any additional licensing costs if each user is licensed correctly for the SBS (Small Business Server).

If your organization does not have their own server or the server does not contain Microsoft Exchange don’t worry. Northern Computer can provide you with your own Exchange Server Connection for a small monthly fee. This would allow you to reap the benefits of using Exchange and Outlook without having to purchase the software, hardware or maintain the environment. Tips and Tricks - How to keep your laptop battery charged

Plugging in the AC adapter recharges the batteries, but what do you do to maximize the time spent between AC outlets? To keep your batteries breathing as long as possible, try some of these tricks.

• New batteries come uncharged and need to be broken in. Charge and immediately discharge your batteries a few times before relying on them. (Discharge portables by leaving them unplugged from the wall and turned on for a few hours — or even overnight.) In fact, keep up the habit of fully draining and recharging your batteries once a week.

• Clean the contacts on your rechargeable batteries and charger. A cotton swab and rubbing alcohol can do the trick.

• Head for the Control Panel, open the Power Management area, and make sure that Windows knows it's running on a laptop and needs to save as much power as possible. That way, it can shut off the hard drives when they aren't being used, for example, or turn off the screen.

• When not using something with your laptop, turn off its power. Remove PC cards, for example. You can leave your modem PC card inside, though, if you make sure that your modem program isn't configured to receive calls. Otherwise, the PC card stays on, draining power as it awaits a phone call that never arrives.

• Leaving a disc in your laptop's CD-ROM drive is actually beneficial; your computer peeks inside the drive at random intervals, and it takes less energy to find a disc than to search for one.

Tips and Tricks - How to Password Protect a Document

There are two ways that you can apply passwords to protect a document. Passwords can be applied to protect your document so that unauthorized people cannot view and/or modify your document.

1 - Applying a password to open the document. This will prompt the user to enter a password before they can open a document.

2- Applying a password to modify the document. Anyone can open the document but no editing or modifications can be applied to the document without entering the correct password.

To apply a password for MS Office 2003 or 2007, follow these steps:   

Select the "Save As" command from the File menu

Click the "Tools" button of the dialog box and choose "General Options" form the drop down menu. The "Save" dialog box will appear.

Enter first password in "Password to open" text box and second password in "Password to modify" text box (if required) and click "Ok" button of dialog box. Microsoft Word will open "Confirm Password" dialog box for the confirmation of passwords. The maximum length of password is 15 characters.

Re-enter the password to open and password to modify and click "Ok" button of Confirm Password dialog boxes one by one.

Click "Save" button of Save As dialog box.

Kelowna Printers - Laser vs. Inkjet

The decades old debate continues on as end users and organizations try to figure out which printer is the best for them. There are many reasons to go with Laser over inkjet, and just as many reasons to go with Inkjet over Laser. Here are a few pointers to help you decide:
  • Do you require color printing? Even though inkjets seem to do a better job at printing, it is not always the case, for charts and graphs, a laser printer will print just as well as any inkjet printer.
  • The cost of running Laser is cheaper than inkjets. To keep this statement true, you would need to consider that in the past it was cheaper to run laser printers, but now with manufacturers making changes to multi color cartridges the cost per page is getting pretty low.
  • Do you print photos? Inkjets do have an advantage in printing photos and some even have the ability to spray a gloss finish on the photo to make it have that professional look.
  • Space and size issues. Laser printers are traditionally larger and bulkier, so if space is a real issue, inkjets are typically a lot smaller than laser printers.

But both laser and inkjet printers have drawbacks – where one kind of printer is strong, the other is often weak. For instance, inkjets are significantly slower than lasers, while lasers (even color lasers) struggle with reproducing the subtle gradations of photographs.

Inkjets and lasers also have different strengths depending on the amount of work they do. Laser printers are more economical for those who do high-volume printing, while those who do occasional print jobs will generally save more with inkjets.

Even though laser printers have more moving parts, and therefore can be more prone to breakdowns, inkjet models wear out more quickly - especially the printing heads - and the quality of their output can decrease over time. On a laser, it's much simpler (though much more expensive) to replace certain parts, such as the drum or fuser, and restore the printer to its original performance. A lot of clients have printers that have pushed out more than a quarter million print jobs on a laser printer. History shows that customers tend to throw out inkjets if they break.

Generally inkjet printers have a price per page of around 20 cents, although this includes both black and colour cartridges — if you intend to print only black, ongoing print costs are generally 7-8 cents per page. Cheap black-and-white laser printers have a price of around 6c per page on average. If you spend more on a laser printer, the cost per page generally drops quickly.

Kelowna Digital Signage - Cost Effectiveness

Businesses are moving away from printed signs to more dynamic, flexible, and customizable digital signs, often referred to as digital signage (DS). Marketing and advertising budgets are now being directed to this new affordable electronic medium. There are many benefits of digital signage over static signs:


  • They grab a customer’s attention and influence their purchasing decision right at the point of purchase. Over 75% of decisions are made in-store and DS can increase impulse purchasing.
  • They eliminate the high cost of creating and distributing print ad campaigns.
  • They shorten perceived wait time.
  • Content changes are easily made and can be customized for various products of customers. Think about menu changes, in store promotions, emergency announcements, facility information.
  • People remember them. DS advertising shows that retention is much higher, up to 37%. People recall seeing advertised products. Nearly half of all shoppers could name at least one brand they saw advertised on the video screens that day without any prompting.
  • People remember product ads better than they do television commercials. More consumers recall seeing products (diet soda and a jewelry retailer) in commercials on the video screens in the mall than during the television show they just watched.
  • Digital signage systems can display a combination of text, images and video and are used to:
    • Convey key information - for example new products, offers or waiting times, current weather or sports stats, emergency messages
    • Advertise – for example in-store sales promotions
    • Third party advertising – advertising the products or services of local companies, usually for a fee
    • Enhance customer experience – providing interesting information, for example food recipes in a butcher shop
    • Aid brand building – develop a brand identity customers remember
Content can be changed more easily while being programed to automatically occur at certain times. Web pages, RSS feeds, video, images and power point presentations can all be combined and incorporated in DS. Signs can even interact with their audience through touch screen technology such as those seen in kiosks. They can display wayfinding and directional information and emergency announcements. DS can provide different functions in different venues. Financial and retail organizations are taking advantage of digital signage to promote products and services in their branches and stores, and to create richer, more interactive experiences for their customers. Other industries, including government, education, healthcare, sports, entertainment, and transportation, are also implementing digital signage as a tool to enhance customer’s and end user’s experiences, resulting in new uses of and demands on organizations' network infrastructures. You have probably seen digital signage in many of your favorite stores, malls and business offices. In airports for example they are fairly static, displaying arrival and departure times and updating as required. In retail they may show on sale items, videos of their products, store hours, live TV or a combination of all.

Digital signage usually includes an LCD, plasma screen or projector to display the image. Connected to that is a small box called a media player which is basically just a small computer designed to run 24x7. This stores and delivers the content to the display device. In more complicated DS installations all the media players are connected via a network so that they can be centrally managed and the content automatically pushed out from a central computer.

The LCD’s or plasma screens used in digital signage are specially designed to run in a commercial environment. These displays are typically on up to 16 hours a day and sometimes 24 hours a day. The front panel controls can be locked out and they can be programed to turn on and off at specific times. These are not your average consumer home TV sets purchased in your local electronics store and have therefore slightly higher costs. However they better standard warranties (2 to 3 years) and will have a longer lifespan for your business.

How are File Sizes Measured?

A bit (short for "binary digit") is the smallest possible unit of information on a PC. A single bit can hold only one of two values: 0 or 1.

A byte (short for "binary term") is a unit of storage capable of holding a single character. On almost all modern computers, a byte is equal to 8 bits.

A kilobyte (KB) is 1,024 bytes.

A megabyte (MB) is 1,048,576 bytes, or 1024 kilobytes.

A gigabyte (GB) is 1,073,741,824 bytes, or 1024 megabytes.

A terabyte (TB) is 1,099,511,627,776 bytes, or 1024 gigabytes.

The old floppy disk that could hold 1.44 megabytes, for example, was capable of storing approximately 1.4 million characters, or about 3,000 pages of information. An 100 gigabyte hard drive can store about 100 billion characters and can over 200 million pages of information.
